Privacy policy

Draft - for client review, not legal advice.

Last updated: 30 October 2026.

This policy explains what personal data we collect through this website and by email and phone, why, who else handles it, and your rights.

Who we are

The controller of your personal data is [CLIENT TO CONFIRM: legal business name], trading as InTuition Learning, of 32 Longmeadows, Darras Hall, Newcastle upon Tyne, NE20 9DY.

ICO registration number: [CLIENT TO CONFIRM: ICO registration number, or state that none is held].

What we collect and where from

  • Contact form: your name, phone number (optional), email address, enquiry type and message.
  • Tutor application form: your name (optional), email address, employment type (part time or full time) and message.
  • Emails and phone calls: whatever you tell us, together with your email address or phone number.
  • Analytics, only if you accept: how the site is used, such as pages viewed, approximate location, device and browser. See our cookie policy.

We collect form details from you directly. Our forms also pass your IP address to the form service (see below). We do not ask for sensitive information. Please do not include it in a message.

Why we use it and our lawful basis

  • Replying to enquiries and applications. We use your details only to respond to you and, if you go ahead, to arrange tuition or discuss tutoring work. Our lawful basis is legitimate interests (running our business and answering the people who contact us) or, where you ask about our services, taking steps at your request before a contract.
  • Analytics. We use Google Analytics to understand how the site is used and to improve it. Our lawful basis is your consent. It is off unless you accept, and you can withdraw consent at any time.

We do not sell your data and we do not use it for marketing.

Who handles your data

  • Web3Forms (form service), operated by Web3Creative, which acts as our processor under a data processing agreement covering GDPR and UK GDPR. It receives what you type into a form, plus your IP address, and forwards it to us by email. It is hosted on Amazon Web Services; Web3Forms does not publish the region, so your data may be processed outside the UK. Submissions are stored for 30 days on its free plan, then deleted automatically. Web3Forms says it does not sell or share them.
  • Our email provider. Messages sent to info@intuitionlearning.co.uk, including forwarded form submissions, are held in our mailbox with our email provider.
  • GitHub Pages (website host, operated by GitHub in the United States). Like any host, it handles technical data such as your IP address when you load a page. The site's published files are in a public repository, but they hold no personal data and form submissions never go there.
  • Google Analytics, only after you accept analytics cookies. Google receives usage data and your IP address.

These providers act on our behalf or, for hosting and analytics, under their own terms. We only share your data with others where the law requires it. The WhatsApp, Facebook and Instagram links leave this site: if you follow them, those services handle your data under their own policies.

International transfers

Some of these providers, including Google, GitHub and the form service, may process data outside the UK, for example in the United States. Where they do, we rely on the safeguards they provide, such as the contractual protections in their data processing agreements, the UK International Data Transfer Agreement or Addendum, an adequacy arrangement such as the UK-US data bridge, or equivalent protections. You can ask us for more detail.

How long we keep it

  • Form messages, emails and call notes: [CLIENT TO CONFIRM: retention period for enquiries and applications, for example 12 months after the last contact], then deleted.
  • Analytics data: held by Google under the settings we choose. The analytics cookies last up to two years (see the cookie policy).

Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict how we use it;
  • object to us using it on the basis of legitimate interests;
  • receive your data in a portable format;
  • withdraw consent at any time, using "Cookie settings" in the footer for analytics.

To use any of these rights, contact us using the details below. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.

Children and young people

We tutor school pupils, but enquiries are expected from parents or guardians, and we ask that anyone under 16 has a parent or guardian make contact for them. If a young person does send us their details, we use them only to reply and, with a parent or guardian involved, to arrange tuition. If you think a child has sent us data without a parent or guardian knowing, contact us and we will delete it.
